Voki
Private beta

AI meeting notes, no bot required

Voki listens to your microphone and your computer's audio, transcribes as people talk and writes structured notes when the meeting ends. Sign in once with Google, Microsoft or your email, and your calendar's meetings are ready, on your computer, the web and your phone.

Free for invited testers during the private beta. At launch every workspace starts with a 14-day trial.

Private beta. Windows 10 or 11, and Macs with Apple silicon.

Voki's finished notes for a sales call: a summary, decisions and action items, each with a chip showing who said it and when.
  • No bot required

Voki listens to your microphone and your computer's audio, so nobody has to admit a note-taker. Can't attend? Voki's meeting bot can go for you.

  • One sign-in, nothing to set up

Sign in with Google, Microsoft or an emailed code. A Google or Microsoft sign-in brings your calendar along, and there are no keys or models to choose.

  • The same notes everywhere

Your meetings are in your Voki account: open them on Windows, on a Mac, on the web or on your phone.

How it works

From call to notes in three steps

  1. Join your call as usual

Click Start notes. Voki works with Zoom, Meet, Teams, Webex, Slack, phone apps and in-person meetings.

  2. Watch the live transcript

It shows who is speaking as people talk. Jot down the odd note if you like; Voki expands each one with details from the conversation.

  3. Stop, and get your notes

Click Stop & write notes. A summary, key points, decisions and action items appear, and every point links back to who said it.

Features

Everything you need from a meeting, and nothing you have to set up

Everything below is in Voki today.

  • Botless capture

The desktop app records your microphone and your computer's audio, on Windows 10 (version 2004) and later and on macOS 14.2 and later. Any app that plays sound works.

  • Records offline

Lost the connection? Voki keeps recording on your computer, encrypted, and uploads when you're back online. Then the notes are written.

  • Web and phone

Read, search and share your notes in a browser, and record in-person meetings in the browser or on your phone.

  • Search everything

One box searches titles, notes, transcripts and action items, by words and by meaning.

Who said what

Every point shows its source

Each summary point, decision and action item carries a chip with the speaker and the time. Click it to jump to that line in the transcript and check it yourself.

  • Name the speakers once, and the transcript and notes use the names.
  • Recordings are encrypted, and a team can set how long they are kept.
A decision in the notes selected, with its source line highlighted in the transcript and an audio player ready to play that moment.

Calendar

Your next meetings, and a nudge when one starts

Sign in with Google or Microsoft and your calendar comes with it, or connect it in Settings → Calendar. Home lists your upcoming meetings with Start notes, and Join for Zoom, Google Meet and Teams links.

  • When a meeting begins, Voki asks “Start notes?”. The notes get the event's title and who was invited.
  • On Windows, Voki can also notice Zoom, Teams, Slack, Webex or a browser call starting to use your microphone and offer to start notes. It only checks which apps use the microphone.
  • Voki only reads your calendar. It never changes events or sends invitations.
Home with today's and tomorrow's meetings from a connected calendar, each with Join, Send bot and Start notes, and a Start notes? prompt in the corner.

Meeting bot

Can't be there? Voki's bot goes for you

Paste a Zoom, Google Meet or Teams link, or click Send bot on an upcoming meeting. The bot joins the call, and when it leaves, the meeting is in your library with everyone's names, the recording and the notes.

  • Turn on “Voki's bot joins my calendar meetings” and it joins every meeting with a link a minute before it starts. Each meeting has its own switch.
  • If it can't get in, it tries again every minute, three more times. It leaves when nobody has spoken for 5 minutes, or 5 minutes after the meeting's end time.
  • Say “Voki, capture this” in the call, or click Capture screen, and the bot saves a picture of the shared screen at that moment in the notes.
  • Everyone in the call sees the bot. In the desktop app's Private mode you can use your own Vexa or Attendee bot service instead.

Sharing

Share a link, or send notes where your team works

On the web, Share makes a link to a meeting's notes, with or without the transcript, that you can turn off at any time or set to expire. Copy notes into any app, or export Markdown or PDF.

  • Highlight moments in the transcript, make clips of them and share the clips.
  • Send action items to Linear, Jira, Asana, Todoist, Microsoft To Do or Google Tasks, and summaries to HubSpot, Salesforce or Pipedrive, once your workspace connects them.

Dictation

Type with your voice in any app

Hold Ctrl+Alt+Space (⌃⌥Space on a Mac), speak, and let go: the desktop app types what you said where your cursor is. It removes filler words, fixes punctuation and matches the app: polished in email, casual in chat, names of things left alone in code editors.

  • One vocabulary for names spelled your way, in dictation and meetings, and snippets that turn a few spoken words into longer text.
  • Dictation audio is never saved, and the history stays on your computer.
The Dictation page: the shortcut Ctrl+Alt+Space and a history of tidied-up dictations, each with the app it was typed into.

Ask your meetings

Ask in plain words, get answers with sources

Ask something like “What did Acme ask for in the renewal?” Voki answers only from your meetings, with numbered sources that open the meeting at that moment.

  • Ask works on the desktop, the web and your phone, across every meeting in your workspace you can see.
The Ask screen: a question about a renewal, answered from the user's meetings with numbered sources.

Action items

Every open task from every meeting

See who owes what, grouped by person or by meeting. Tick tasks off as they are done and filter by person or date.

  • Send a task to your team's task app in one click.
The Action items screen: open tasks from every meeting, grouped by person, with checkboxes and filters.

Templates

Notes in the shape you need

Start with General, Sales call, 1:1, Interview or Standup. Duplicate one or build your own by naming its sections and saying what goes in each.

  • Rewrite any finished meeting with a different template in one click.
Settings, Note templates: built-in templates and a custom template with its own named sections.

Keyboard shortcuts

Fast without the mouse

Start notes, stop them, search and jump anywhere from the keyboard in the desktop app. On a Mac, use ⌘ where this says Ctrl. Press ? in Voki to see them all.

  • CtrlKSearch your meetings; press again for the quick switcher
  • CtrlNStart notes
  • CtrlShiftSStop & write notes, from any screen
  • CtrlJAsk your meetings
  • F1Help
The quick switcher opened with Ctrl+K, listing meetings and screens to jump to.

Privacy

Your meetings are yours

Your meetings live in your Voki workspace. Here is how they are kept safe, and how to keep them on your computer instead.

  • Your workspace, walled off

Meetings, transcripts and notes are stored by Voki in your workspace. Every request is checked against your membership, and nobody outside the workspace sees them unless you share a link.

  • Encrypted recordings

Recordings from the web, your phone, imports and the bot, and the bot's screen captures, are each encrypted with their own key (AES-256-GCM). The desktop app keeps its recordings on your computer, encrypted.

  • Recorded on your device first

The apps record on your device first, so a lost connection loses nothing. Audio the live connection missed waits there, encrypted on the desktop, and uploads when you're back.

  • Not used for training

Deepgram transcribes and Anthropic's Claude writes the notes, as Voki's processors. Voki doesn't train AI on your meetings, and neither does Anthropic for data sent through its API.

  • Delete when you want

Delete a meeting (it stays in the Trash for 30 days), set retention rules for a workspace, or delete your account from Settings in any Voki app.

  • Private mode, fully local

For meetings that must stay on your computer, the desktop app's Private mode transcribes and writes notes there, with nothing sent to Voki's cloud. A workspace admin can turn it off.

Read the privacy policy draft for the details, and the trust page for every service that processes data for Voki.

Private mode

When meetings must stay on your computer

An advanced option in the desktop app (Settings → Advanced). Transcription and notes run on your computer, or with your own AI key, and nothing goes to Voki's cloud. You still sign in, and a workspace admin can turn it off. Three presets, and the real cost of each:

Compared

Voki and typical cloud notetakers

How Voki's approach differs from the usual cloud model.

Voki compared with typical cloud notetakers
Joins your callNot by default: the desktop app listens to your computer's audio. Voki's bot joins only when you send it or turn on auto-join.Often as a bot or recorder in the meeting.
SetupOne sign-in with Google, Microsoft or an emailed code. The calendar comes with it. No keys or models to choose. An account, then calendar and app connections.
Where meetings are storedIn your Voki workspace, recordings encrypted with a key each. Or only on your computer, in Private mode. The vendor's cloud.
Poor connectionKeeps recording on your computer and uploads when you're back online.Usually needs a steady connection.
PriceA 14-day trial with no card, then a plan. If you don't choose one, your notes stay readable.Often a limited free version, or a subscription per user.
Choice of AIYour workspace admin chooses which models members may use. Private mode takes any provider, or a local AI.Chosen by the vendor.

“Typical cloud notetakers” describes the common cloud model in general, not any one product, and products differ. Voki is in beta: the desktop app runs on Windows and Apple-silicon Macs, the web app in any modern browser, and the phone app is in testing.

FAQ

Questions people ask

Does Voki join my call?

Not unless you ask it to. When you click Start notes in the desktop app, Voki listens to your computer: your microphone, plus the audio your computer plays. So it works with Zoom, Google Meet, Teams, Webex, Slack huddles, phone apps and in-person meetings. For a meeting you can't attend, send Voki's meeting bot to the Zoom, Meet or Teams call; everyone in the call can see it.

Do I need an account?

Yes, one sign-in: Google, Microsoft or a code sent to your email (Apple too, on iPhone). Signing in with Google or Microsoft also asks to read your calendar, so your upcoming meetings appear without any setup. There are no API keys or models to choose.

What does it cost?

Every new workspace starts with a 14-day trial, with no card. Then choose Pro, Team or Enterprise. If you don't, nothing is deleted: you can still open, search, share and export your notes. See the pricing page.

Where do my meetings and recordings go?

Transcripts and notes go to your workspace on Voki's servers, so they're on every device you sign in to. Recordings are encrypted: the desktop app keeps its own on your computer, and recordings from the web, your phone and the bot are kept in your workspace. Deepgram transcribes the audio and Anthropic's Claude writes the notes, for Voki only. The privacy policy lists every service involved. If meetings must stay on your computer, use Private mode in the desktop app.

Does it work offline?

The desktop app keeps recording without a connection and uploads when you're back, then writes the notes. You need to be online to sign in the first time. In Private mode everything, notes included, can run on your computer with no internet.

What is Private mode?

An advanced option in the desktop app (Settings → Advanced). Transcription and notes run on your computer, or with your own AI key, and the meetings stay on that computer instead of your workspace. You still sign in, and a workspace admin can turn it off.

Is it legal to record my meetings?

Recording and transcription rules differ by country and state, and some require everyone's permission. Tell people you are taking notes. Voki reminds you the first time you start notes and has a Copy announcement button for the chat. This is not legal advice.

Which languages does it support?

Dozens. Voki starts from your device's language and can switch to automatic detection, or you can choose the meeting's language. Notes are written in the meeting's language.

Can my team use it?

Yes. A team workspace has a shared library, roles, invitations, and rules for retention, sharing and AI models. Single sign-on is on the Team plan.

Can I run Voki on my own server?

Yes. Voki Server runs the whole platform on one Linux machine with Docker, and the apps point at it. The guide is in Voki's repository.
